JOB SUMMARY
As our Bottling Plant Administrator, you are at the central hub of our plant’s operations.
In this role, you will provide vital administrative and operational support to the bottling plant manager and to keep our bottling facility running smoothly. By coordinating office activities, maintaining accurate production and inventory records, managing documentation, supporting compliance requirements, ensuring efficient communication between departments, you help to create and maintain a smooth and successful workplace for the entire team.
KEY RESPONSIBILITIES
Administrative Care
- Organization: Maintain and organize plant records, files and essential documentation to keep our office structured and efficient.
- Reporting: Prepare and distribute daily, weekly, and monthly operational reports for the management.
- Communication: Manage general correspondence and internal communications smoothly.
- Office Logistics: Monitor office supplies and coordinate procurement requests.
Production Support
- Data Management: Collect, verify, and compile production data and statistics with high accuracy.
- Scheduling: Maintain up-to-date production schedules and performance records.
- Target Tracking: Assist in tracking production targets and operational efficiency metrics.
- Team Coordination: Act as a helpful bridge for communication between production, maintenance, quality control, and warehouse departments.
Inventory & Logistics Administration
- Stock Tracking: Maintain precise inventory records for raw materials, packaging supplies, and finished products.
- Reconciliation: Prepare inventory reports and reconcile any stock discrepancies.
- Supply Chain Support: Assist our procurement and logistics processes by keeping all documentation accurate and up to date.
- Logistics Tracking: Coordinate and file clear delivery and dispatch records.
Compliance & Documentation
- Record Retention: Ensure proper filing and safe retention of operational, quality, and safety records.
- Standards: Support our compliance with company policies, industry standards, and regulatory requirements.
- Audit Support: Assist internal and external auditors by providing the required documentation.
Human Resources & Team Support
- Timekeeping: Look after employee attendance records and timesheets accurately.
- Onboarding: Assist with onboarding documentation for new employees.
- Training: Coordinate training schedules and maintain training records.
- Team Welfare: Support employee welfare initiatives and general administrative activities.
- Workplace Safety: Ensure, support and help enforce our vital safety compliance guidelines.
POSITION SPECIFICATIONS (Your Profile)
Education & Experience
- Education: Bachelor’s degree in Business Administration, Management, Operations Management, or a closely related field.
- Experience: 2–3 years of administrative experience, ideally within a manufacturing or bottling environment.
- Bonus Assets: Prior experience with inventory management and production reporting is a strong advantage.
Skills & Competencies
- Organization: Exceptional organizational, multitasking, and administrative skills.
- Communication: Excellent written and verbal communication skills.
- Software Savvy: Proficiency in ODOO and Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook).
- Analytical Eye: A strong ability to accurately prepare, read, and analyze operational reports.
- Detail-Oriented: A sharp eye for detail and a passion for flawless record-keeping.
- Problem Solving: Great problem-solving abilities with a proactive, solution-oriented mindset.
- Collaboration: The capability to work confidently on your own as well as collaboratively within a team.
- Industry Knowledge: A foundational understanding of manufacturing operations and inventory control processes.
